Annual Meeting of Members and Board of Directors

The annual meeting of the CAUT Defence Fund will be held at The Westin Ottawa Hotel, in Ottawa, ON, on Saturday, October 18, 2025.

Registration Form

Attending Defence Fund Directors should complete the registration form before September 17, 2025.

If a union’s Defence Fund Director is unable to attend, the union should complete this form.

Bargaining Status Reports

Pursuant to section 11.2 of the Defence Fund Standing Rules and Regulations, each Member Union must provide a local bargaining report in advance of the annual meeting.

Hotel Accommodation

Please make your hotel reservations before September 17, 2025, through this link to take advantage of the group rate. The room rate at the hotel is $259.00 per night (plus fees and applicable taxes).

As per section 8.3.1 of the Standing Rules and Regulations, the CAUT Defence Fund will only reimburse the negotiated amount of $259.00 per night (plus fees and applicable taxes) for hotel room costs.

Please note that in lieu of a hotel room, directors may claim a room allowance at half the applicable meeting room rate.

Breakfast and lunch will be provided on October 18, 2025. Other meals and expenses will be reimbursed in accordance with section 8.3 of the Standing Rules and Regulations.

Election of Directors

If your union’s proposed director will be elected at the AGM, they must still register, and book travel and accommodation as set out above

Travel

The CAUT Defence Fund will cover the cost of transportation to Ottawa for Directors. Flights and reservations must be made directly with CAUT̓’s travel agency, Corporate Traveller by no later September 24th, 2025.

Corporate Traveller will require the booking code 91001 to make travel reservations and to bill CAUT directly.

A detailed agenda and documents will be provided electronically closer to the meeting date.

In an effort to be conscious of the environment, printed kits will not be provided. Complimentary Wi-Fi will be available in the meeting room and electrical outlets will be provided at each table.
